🛠️ To Raise a Concern or Make a Complaint
We take all concerns seriously – whether they’re shared in person with our safety officers or submitted through our online form. Below is the process we follow to ensure transparency, sensitivity, and support.
🔄 Complaint & Concern Handling Flow

You Share a Concern
You can tell us in person (to a Safety Officer), or via our anonymous or named online form.
- You don’t have to be directly involved to report something – witnesses can report too.
- You can talk to us even if you’re unsure or just want to check something felt okay.

We Receive & Acknowledge It
- We will confirm receipt (unless the report is anonymous).
- We’ll record the details confidentially, including any preferences you’ve expressed (e.g. anonymity, desired outcomes, concerns about retaliation).

Initial Assessment
Two designated organisers (including at least one Safety Officer) will review the concern promptly.
We’ll assess if this is:
- An informal concern requiring support or clarification.
- A formal complaint that may require follow-up actions or consequences.

We Talk With Those Involved
If appropriate and with consent, we will talk separately with relevant parties.
We will ensure all conversations are handled with care and respect, giving everyone space to share their experience and perspective.

Action Planning
Depending on the situation, outcomes might include:
- A conversation or clarification.
- Offering support or mediation.
- Issuing a warning or behaviour agreement.
- Asking someone to leave an event.
- Referring to external STEPS contacts or other dance organisations (especially if the concern spans scenes or involves organisers).

We Follow Up With You
We’ll update you on the outcome if you’ve given us your contact details and wish to be informed.
We respect confidentiality and balance transparency with protecting all parties involved.

We handle all concerns with discretion and care. Where needed, we may consult another organiser or a trusted external contact from the wider STEPS network – but only when appropriate and necessary for everyone’s safety.
